Position Overview
Join a premier luxury travel agency as an Assistant Travel Coordinator in this full-time, 100% remote role (40 hours per week). In this position, you will be an essential part of designing and coordinating high-end, bespoke travel experiences for discerning clients. You’ll work closely with the Owner & Lead Travel Advisors, ensuring every itinerary is perfectly tailored to client preferences and executed flawlessly.

Key Responsibilities

Travel Coordination & Support: Collaborate with Travel Advisors: Gather all logistical and operational details to create bespoke itineraries aligned with client expectations.

Itinerary Formatting: Edit and format itineraries using company software, ensuring consistency with brand style and quality standards.

Supplier Relationships: Build and maintain relationships with suppliers (hoteliers, DMCs, etc.), checking rates, managing reservations, and handling special requests.

Trip Tracking: Monitor trip progress, payments, and logistics in the company’s CRM/project management tools.

CRM Management: Keep client profiles and trip details updated for seamless access and coordination.

Travel Support: Manage client-specific preferences (frequent flyer numbers, visa requirements, travel insurance, special activities, transfers, VIP requests, etc.).

Final Documentation: Coordinate and deliver accurate, on-time travel documents and departure packages.
Administrative Support
- Maintain and organize documents in cloud storage.
- Schedule meetings, discovery calls, and manage shared calendars.
- Draft and proofread emails, manage communication channels, and assist with special projects.
- Provide coverage when Lead Advisors or Coordinators are away.
Qualifications & Skills
- Strong, reliable internet connection.
- Advanced English ( Only accepting candidates with C1 and C2 level)
- 2–3 years of experience in the travel industry — ideally in hospitality, MICE (Meetings, Incentives, Conferences, and Exhibitions), concierge services, destination management companies (DMCs), travel and tour operations, or luxury travel.
- GDS knowledge (Sabre) is a plus.
- High attention to detail and ability to handle complex travel logistics.
- Strong organizational, written, and verbal communication skills.
- Proactive, solutions-oriented, and collaborative mindset.
- Experience with CRM tools (AXUS, TravelJoy, TripSuite), Canva, Google Suite, and project management platforms is a plus.
- Multilingual abilities are a plus.

This is a 100% remote, full-time position (40 hours/week, Monday–Friday). Flexible schedule available, though generally aligned with U.S. business hours. Compensation will be discussed during the interview process.
