Assistant Travel Coordinator
Position Overview:
Join a premier luxury travel agency as an Assistant Travel Coordinator. We offer both Full-Time (40 hours/week) and Part-Time (20 hours/week) opportunities.
In this role, you will play a key part in designing and coordinating high-end, bespoke travel experiences. You’ll collaborate closely with the Owner & Lead Travel Advisor to ensure each itinerary is flawlessly executed and reflects our signature attention to detail.

You’ll build supplier relationships, support client projects, and ensure an exceptional standard of service for our discerning travelers.
Key Responsibilities
Travel Coordination and Support
- Collaborate with the Owner & Lead Travel Advisor to gather all necessary logistical and operational details for each bespoke itinerary.
- Format and edit itineraries using the company’s travel software, ensuring consistency with brand voice and style.
- Build and maintain relationships with key suppliers (hoteliers, DMCs, etc.). Over time, manage communications, rate checks, reservations, and special requests directly.
- Track trip progress in the company’s CRM or project management tool, including payments and logistics updates.
- Maintain accurate member profiles and trip information in the CRM for easy access and data consistency.
- Support all aspects of travel coordination, such as:
- Verifying frequent flyer numbers, Global Entry details, and client preferences.
- Managing bookings, ticketing, and modifications (Sabre experience is a plus).
- Ensuring passport and visa requirements are met.
- Coordinating insurance, transfers, excursions, and special experiences.
- Communicating VIP requests to hotels and service partners.
- Delivering accurate, beautifully prepared final travel documents and departure packages.
Administrative Support
- Organize and manage key documents in shared cloud systems (e.g., Google Drive).
- Schedule meetings, discovery calls, and appointments while maintaining shared calendars.
- Draft and proofread emails, manage communication channels, and assist with special projects.
- Provide coverage support during team absences when needed.
Requirements
- Based in Latin America (LATAM) or Europe (Depending on the client)
- Strong and reliable internet connection.
- Advanced English proficiency (C1–C2 level).
- Prior experience in the travel industry, ideally in luxury or bespoke travel, is strongly preferred.
- Knowledge of GDS systems (e.g., Sabre) is a plus.
- High attention to detail and strong multitasking ability in dynamic environments.
- Excellent written and verbal communication skills with a professional and persuasive tone.
- Proficiency in CRM tools (AXUS, TravelJoy, TripSuite, TravelPro 265, Travefy) and productivity platforms (Google Workspace, Asana, Canva).
- Fluency in multiple languages is highly regarded.

About the Role
- Serve as a Salesforce Architect/Consultant with a strong focus on Health Cloud to design scalable, compliant healthcare Salesforce solutions for US-based clients.
- Lead architectural discussions, design end-to-end solutions, and provide expert guidance on Health Cloud, Sales, Service, and Experience Clouds.
- Conduct client workshops, gather requirements, translate business needs into technical designs, and drive integration strategies with external systems.

- Strong hands-on experience as a Salesforce Architect/Consultant with Health Cloud in healthcare or life sciences projects.
- Expertise across Salesforce Health Cloud, Sales Cloud, Service Cloud, and Experience Cloud.
- Proven ability to design solutions, run client workshops, and manage integrations with external systems and data sources.
- Solid understanding of healthcare data standards, interoperability, security, and compliance considerations.
- Excellent communication skills in English (conversational–advanced) and the ability to present to stakeholders at all levels.
- Based in LATAM with readiness to work in a 100% remote capacity.
Nice to Have: Salesforce certifications (Health Cloud, Architect) and prior US healthcare or life sciences project experience.
